CUSTOMER MAINTENANCE

DESCRIPTION:  This program is used to set up all of the customers you will be sending invoices to or making out receipts for.

To start, click the CUSTOMERS button  on the Main Screen , then click the CUSTOMER MAINTENANCE button.

 

The following screen will appear:

We will now instruct you on how to set up a NEW Customer.  (If you want to EDIT an existing customer, you will need to locate that customer, click the Modify button, proceed with your changes, and then click the SAVE button.)

 

TO ADD A NEW CUSTOMER:

 

1.Click on the NEW button.
The following screen will appear:

The General tab includes the basic infroamtion for a particular customer such as code, name, contact information and type.

2.Enter a unique Customer Code for this particular customer.  You can use up to 8 letters and/or numbers

3.Select the Customer Type you would like to use by selecting Accts Receivable from the drop-down.   

4.You can add multiple contacts to a particular customer by clicking on the Click here to add a new row button in the Contacts grid

5.The Accounting tab includes the accounting information related to this customer, such as the Federal tax id number, if the customer is taxable for sales tax purposes, and the default number of days before an invoice is due.

 

6.The Notes tab allows you to enter notes relating to the customer

 

7.When you are finished entering information for a new customer or finished making changes to an existing customer; click on the Save button to save the new customer or to save any changes made to the existing customer.

8.If you need to delete a customer, then you can select that customer from the list and click on the Delete button. The system will not let you delete a customer that is currently being used. If a customer is currently being used by the system and you no longer need to post invoices for it; then you can mark the status as inactive instead of active.
