CHANGE ACCOUNT NUMBER

 

DESCRIPTION:  This utility is used to change an account number that was set up in the system incorrectly, or perhaps was changed by the State of Michigan in an Accounting Manual update.  This utility will move all the transactions from the existing account number to the new account number.

 

This utility is also helpful in moving retired equipment to a new "retired designated" number, and then reusing a particular equipment number.  This is particularly helpful when you have certain groups of numbers designated to certain departments or districts.  Example:  Equipment #196 that you bought in 1988 is retired and now you have a new piece of equipment that you would like to be called Equipment #196; however you don't want all the old transactions in there. So here you can change it from #196 to ER196.

 

NOTE:  EVERYONE MUST BE OUT OF THE SYSTEM BEFORE YOU PERFORM THIS UTILITY!

To access Change Account Number, click on the GENERAL LEDGER button ,  then click on the CHANGE ACCOUNT NUMBER button. 

 

 

TO CHANGE A WRONG ACCOUNT NUMBER TO A CORRECT ACCOUNT NUMBER:

1. Enter the "wrong" account number under EXISTING ACCOUNT NUMBER.   You can use the pull-down menu to easily find the existing account number.

 

2. Enter the "correct" account number under NEW ACCOUNT NUMBER.

 

3. Click on the RENAME ACCOUNT button

 

4. Click OK once the Account rename is complete.  

 

5. Click CLOSE.

 

6. Click OK to confirm exit.
