SETTING UP COMP TIME

 

DESCRIPTION:  There are several things you will need to do before you can start banking, using, and tracking your employees’ Comp Time.

Use the following three (3) steps to get started. We will explain how it works after the three steps are set up.

RUN PAYROLL CONSTANTS - BANK TYPES:

1. Click on the PAYROLL button, , then click on the SETUP BANK TYPES button.

 

The following screen will appear:

 

2. Click the +button.

This screen will appear.

3. Enter the code you would like to use for Comp Time, for example C, , COM, CMP, etc. 

 

4. Enter the Short Name 1, for example COMP TIME. 

 

5. Enter the Description, for example COMP TIME.  

 

6. You will  need to set up a CALC TYPE, because CALC type is used  for Bank Calc

7. Enter the Associated Bank if applicable.

 

8. You will just click on the Save  button at this point. 

 

 

RUN PAYROLL CONSTANTS - PAYROLL TYPES:

 1. Click on the PAYROLL button, , then click on the SETUP PAYROLL TYPES button.  

 

The following screen will appear:

 

 

2. Click the NEW button.

 

3. Enter the correct expense account number.

 

4. Enter a Code you would like to use, for example as C, COM, CMP, etc.

 

5. Enter the Description for this code.

 

6. Enter the Short Name 1 (and 2, if needed).

 

7. Enter the PR Factor applicable to this code. (Should be 1).

 

8. Check the Taxable box.   DO NOT CHECK THE "IS AMOUNT" BOX.

 

9. Check the Comp Time box.

10. Update the following Bank  .  Choose from the drop down . 

11. Click SAVE.

 

RUN EMPLOYEE MAINTENANCE

 

 1. Click on the PAYROLL button, , then click on the EMPLOYEE MAINTENANCE button.

 

2. Click on the appropriate employee.

 

3. Click on the BANKS tab.

 

4. Click NEW.

5. Click the pull down menu next to the Bank Code box.    Select the correct Comp Time code.

 

6. Make sure the Status box says "A" for active.

 

7. Click the save Button. 

 

HOW IT ALL WORKS

 

When an employee’s time is to be added to his Comp Bank, you will post his normal earnings information (e.g., payroll type, account number, hours, and any equipment).

 

To bank the time, you will check the box next to COMP TIME and the hours corresponding to this payroll type will be added to his Comp Bank. For example:

 

1.Regular payroll type will multiply the hours worked by 1 and add them to the Comp Bank;

2.Overtime payroll type will multiply the hours worked by 1.5 and add them to the Comp Bank;

3.Double-time payroll type will multiply the hours worked by 2 and add them to the Comp Bank.

 

When an employee wants to use the hours in his Comp Bank, use the payroll type you set up in step 2 (above), do not check the Comp Time box, and enter the hours being used.

 

As with all bank codes, you can make adjustments to the hours in the bank using the "Make Adjustment" option on the employee’s bank screen in Employee Maintenance.

 

REPORTS

Two reports have been updated to allow you to audit comp time banked and used. They are PR Audit and PR Audit with Equipment. A new option on the parameters screen allows you to show comp time only.

 

You can also continue to use the various Payroll Bank reports and any of the payroll reports that ask for "Low" and "High" Payroll Types to track comp time balances, liability, and usage.
