ZERO FILL EMPLOYEE NUMBERS

 

DESCRIPTION:  This is a one-time sub-utility that will change all your employee numbers to be the same number of digits long. For example, if you have set up employee numbers 1, 27, and 185, note they’re all different lengths. When you’re trying to locate the employee in the PR Post program, these three numbers will be listed in the following order: 1, 185, 27. When you have a lot of employees, it slows down your posting process and makes it difficult to locate an employee from the drop-down menus.

 

By running the Zero Fill Employee Numbers sub-utility, you can set the number of digits you want your employee numbers to be – anywhere from 3 to 9 digits – by zero-filling the numbers. Using the three employee numbers above as an example, if you tell the sub-utility to make your employee numbers four digits long, your new employee numbers will be 0001, 0027, and 0185, and that’s how they’ll be listed in the drop-down menus and in your select employee grids.   

 

If, at some future date, you decide you want to make your employee numbers longer, rerun this sub-utility and increase the number of digits you want the numbers to be.

 

NOTE:  EVERYONE MUST BE OUT OF THE SYSTEM BEFORE YOU PERFORM THIS UTILITY!

To access Zero Fill Employee Numbers, click on the PAYROLL button, ,  then click on the ZERO FILL EMPLOYEE NUMBERS button.

 

The following screen will appear:

  

 

1. Use the pull-down menu to enter the number of digits you want the numbers to be.  (In our example that would be 4).

2. Click DONE.  

3. Click YES to make the change.  (PLEASE NOTE THIS MAY TAKE A WHILE DEPENDING ON HOW MANY EMPLOYEES YOU HAVE.)

  

 

4. You will receive the following confirmation.  Click OK to continue.

 

5. Click OK to complete your repair.
